About CRC Run Sheet

I was a clinical research coordinator before I wrote software. For about seven years I ran research at Wagner Kapoor Research Institute, a retina practice headquartered in Norfolk, Virginia, with sites in Virginia Beach and Hampton and a referral network from Northern Virginia to Elizabeth City. I came in as a consultant to help the one coordinator scale the department; she quit unexpectedly, and I took over three subjects in two studies with no idea what I was doing. By the time I left we ran hundreds of subjects across dozens of studies, Phase 1 through 4, with a team of seven-plus coordinators. I kept five spreadsheets to do it, and I lost PK data to an out-of-window visit that a better sheet would have caught. CRC Run Sheet is the tool I wanted on that day. The longer version is a founder note.

What it is

Open a subject's visit and it tells you what gets done, in what order, how your site does it, where, and who's delegated to do it. The protocol layer comes from the schedule of assessments. The site layer is your own steps and notes, and they carry forward to the next study. Visit windows compute from the anchor date, and everything downstream recomputes when a date changes.

It prints. Anything you tick on screen prints as a paper run sheet for the visit.

What it is not

It is an operational aid, not a system of record. The CRF and your source worksheet stay the source. It is not an EDC, eSource, or eRegulatory platform, and it makes no 21 CFR Part 11 claims. If you need those, you already have them; this sits beside them.

Why there is no PHI in it

Subjects are a subject ID and dates. No names, no dates of birth, no contact details, by design, on every screen. That is what lets the first study be free forever and the paid plans stay at coordinator prices, and it is also what lets a coordinator try it without a conversation with IT.
